Privacy Policy
Effective October 20, 2026
This policy explains what information we collect when you visit www.helmpsychologygroup.com or reach out to us through it, how we use that information, and the choices you have. It's written for the website and the inquiry process. If you become a client, your clinical information is protected under HIPAA and the confidentiality laws of your state, and our Notice of Privacy Practices, which you'll receive with your intake paperwork, explains those protections in detail. Where the two documents overlap for clients, the Notice of Privacy Practices controls.
Information you give us
When you fill out a contact form on our site, we ask for your name, email address, phone number, the state you're based in, how you heard about us, and a short message. If you email us, call us, or leave a voicemail, we receive whatever you choose to include, along with your email address or phone number.
A note before you write to us
Our contact forms and regular email are fine for getting in touch, but they aren't the right place for detailed clinical information. A sentence or two about what's bringing you in is plenty; we'd much rather hear the rest from you directly on a call. If you're in crisis or thinking about harming yourself, please call or text 988 (the Suicide and Crisis Lifeline) or call 911, because we can't monitor messages around the clock.
Information collected automatically
Like most websites, ours uses cookies and similar technologies to understand how visitors use the site and whether our advertising is working. This can include the pages you view, how long you stay, the site or ad that brought you here, your browser and device type, and your approximate location based on your IP address. We use:
Squarespace, which hosts our website and processes our contact forms, and which uses some cookies that are necessary for the site to function and stay secure.
Google Analytics, which gives us aggregate reports about site traffic, such as which pages people read and how they found us.
Google Ads conversion tracking, which tells us when someone who arrived from one of our ads submits an inquiry, so we can tell which ads are worth running. Google receives standard technical information, such as the page you were on and the fact that a form was submitted. We don't send Google your name, email, phone number, or what you wrote in your message.
When you first visit, our cookie banner lets you accept all cookies, decline the ones that aren't necessary, or choose by category, and you can change your mind at any time through the Cookie Preferences button on the site. You can also manage Google's use of your data at adssettings.google.com, or install Google's Analytics opt-out browser add-on at tools.google.com/dlpage/gaoptout. Google may collect information about your activity across different websites over time, as described in its own privacy policy at policies.google.com/privacy. Our site doesn't currently respond to browser "Do Not Track" signals, so the cookie settings above are the most reliable way to limit tracking.
How we use your information
We use the information you send us to reply to you, schedule a free 15-minute consultation call, confirm that we're able to work with someone in your state, and follow up if we haven't heard back. We use the information collected automatically to understand how people find us, improve the site, measure our advertising, and keep the site secure. We may also use or disclose information when the law requires it, to respond to a valid legal process, or to protect someone's safety.
We don't sell your personal information, we don't rent or trade contact lists, and we won't add you to a marketing newsletter without asking.
Who we share it with
We share information only with service providers who help us run the practice, such as our website host (Squarespace), our email provider (Google Workspace), Google's analytics and advertising tools as described above, and the secure systems we use for scheduling and client records. These providers are allowed to use the information only to provide their services to us. We'd also disclose information if required by law, as explained above, or as part of a transfer of the practice, in which case this policy would continue to apply.
California residents: under California's "Shine the Light" law, you can ask whether we share personal information with third parties for their own direct marketing purposes. We don't.
How long we keep it
We keep inquiry information for as long as we need it to respond to you and to maintain reasonable records of who has contacted the practice, and we'll delete it sooner if you ask. If you become a client, we keep clinical records for the period required by professional standards and state law. Google keeps analytics data according to the retention settings in our account and its own policies.
How we protect it
We use reasonable administrative, technical, and physical safeguards to protect the information you share with us, including access controls on the accounts where inquiries arrive. No method of sending or storing information over the internet is completely secure, though, which is one more reason we suggest keeping sensitive details for a conversation.
Your choices
You can ask us what information we have about you, ask us to correct it, or ask us to delete it, and you can ask us to stop following up at any time; just reply to any of our emails or contact us using the details below. We'll honor these requests regardless of which state you live in, except where we're legally required to keep certain records, such as clinical records for clients. Some states give their residents additional privacy rights, and if one of those applies to you, we'll respect it.
Children
Our services and this website are intended for adults. We don't knowingly collect personal information from children under 13, and if we learn that we have, we'll delete it.
Links to other sites
Our site links to other websites, including our Instagram and LinkedIn pages and articles in which we're quoted. Those sites have their own privacy practices, which this policy doesn't cover.
Changes to this policy
We may update this policy from time to time. When we do, we'll post the new version on this page and change the effective date at the top, and if a change is significant, we'll make that clear here.
